TERMS & CONDITIONS:
By submitting this application, the Vendor agrees to the following:
A. Compliance & Liability
Vendor agrees to abide by all policies and procedures outlined in this application/contract. The signature on this form indicates acceptance of personal liability for the business represented.
B. Event Hours
Vendors must remain fully operational and set up until the event officially closes, unless a MegaBite Events team member instructs otherwise.
C. Cleanliness
Vendors must leave their assigned space clean; no garbage or materials may be left behind.
D. Marketing Requirement
All vendors must follow Megabite Events on Facebook and/or Instagram. This will allow you to see and share promotions for the events.
Additionally, vendors are required to post and tag MegaBite Events on Facebook and/or Instagram @megabiteevents for each event they participate in.
E. No-Show Policy
Failure to attend or last-minute cancellations of an event you have signed up for without informing us in advance may result in removal from future events and will forfeit any paid vendor fees for the affected events.
F. Breaking Down / Leaving Early
If you break down or leave early without consulting a MegaBite Events staff member, you may be prohibited from future events, and will forfeit any paid vendor fees for the affected events.
Payment Notes
- Do NOT send payment at this time.
- A 4% transaction fee applies to all credit card payments.
- Additional space requests may incur additional charges.
Invoices
- You will be invoiced separately. Please do not send any payment with this application. Also, make sure to add this address to your safe sender's list. FreshBooks <mail@fb02.freshbooks.com. We accept Zelle, Venmo, or by credit card; a 4% transaction fee will be added for CC processing.
- Depending on your email security settings, invoices may appear in Spam, Junk, or “Other” folders. Please check them before contacting us for missing invoices.
Payment Deadlines
- Vendor fees must be paid within 7 days of the invoice date.
- A $25 late fee applies after 7 days.
- If payment is not received within 15 days, your space may be reassigned to another vendor.
SPACE ASSIGNMENT:
- MegaBite Events reserves the right to assign booth locations.
- Booth sharing is prohibited without prior written approval.
- Vendors may not transfer or sublease their space to another vendor.
- We do not offer product exclusivity; however, we do make an effort to limit duplicate or closely similar vendors where possible.
DISPLAY & SETUP REGULATIONS:
- Vendor displays may not block or interfere with neighboring booths.
- All activity must remain within the assigned space.
- Nothing may be nailed, screwed, or attached to trees or structures in the event area.
- All tents (10x10, 10x20, or larger) MUST be secured with a minimum of 15 lbs. of weight per tent leg.
- Any vendor without compliant weights will not be allowed to set up.
LIABILITY:
MegaBite Events assumes no liability for injuries or damages to visitors, vendors, staff, or property during any part of the event, including setup and breakdown periods.
STAFFING:
Vendor booths must be staffed at all times during event hours.
INSURANCE REQUIREMENTS:
Vendors must carry General Liability and Property Damage insurance coverage of at least $1,000,000.
(2) Certificates of Insurance (COI) must: Name the additional insured in the certificate holder section exactly as shown below

*Additional COIs may be requested by the town, municipality, or charity as additionally insured, in addition to the certificate of insurance naming the above mentioned.
REFUND & CANCELLATION POLICY:
To better facilitate vendor scheduling and attendance projections, we have amended our terms and conditions regarding refunds and date changes.
Vendors will be allowed (1) date exchange or (1) excused absence with prior notification per market season. Changes are being made to the following fee schedule.
Date Changes:
• $20 fee for any date change over one.
Refunds:
• No refunds, credits, or changes for missed or not-attended scheduled dates.
• Refunds will only be given under the following conditions:
-A refund that is warranted and has received prior approval OR
-Megabite Events cancels the market day due to extreme weather or other reasons.
This includes events cancelled due to:
- Weather or unsafe conditions
- Government or authority orders
- Strikes
- Acts of God
MegaBite Events is not liable for revenue loss, damages, or expenses beyond the vendor fee paid.
MegaBite Events reserves the right to revoke this agreement at any time by refunding the vendor fee. No further liability will be assumed.
ADDITIONAL POLICIES:
- Smoking, alcohol consumption, or drug use is strictly prohibited while participating in any event.
- Vendors must comply with all local health, fire, and safety regulations.
